Privacy policy & cookie notice

Plain-English version: you tell us a bit about your business so we can help, we use it to reply and to keep you posted about our services, and we don’t sell it or hand it to anyone else for advertising. Google Analytics is the only tracking we run, and only once you say yes.

Who we are

Business By Numbers Pty Ltd (ACN 679 462 045) is an Australian advisory and bookkeeping firm providing Fractional CFO and Virtual CFO leadership, cash flow forecasting, management and board reporting, bookkeeping and BAS services. We are founded and run by Andrew Paton-Smith and Trevor Hartshorne.

What we collect

We only ask for what we genuinely need to help you:

  • Enquiry details you type into our consultation form: your name, company, work email, phone number and the note about what you’d like clarity on.
  • Anything you volunteer when we talk, whether on a call, by email, or during an engagement.
  • Website usage information: the pages you view, how long you stay, the site that referred you, and your device and browser type. This is collected by Google Analytics.

Please don’t send us anything you consider commercially sensitive before we’ve spoken, as the form is a starting point, not a document upload.

Why we collect it

  • To respond to your enquiry and, if you wish, arrange a discovery consultation.
  • To deliver our services to you if you become a client.
  • For marketing purposes: to follow up with you about our services, events and useful finance content, where you’d expect to hear from us.
  • To understand which parts of our website are useful, so we can improve them.
  • To keep proper records and meet our professional and tax obligations.

Marketing and your choices

If you send us an enquiry, we may contact you about our services. You can ask us to stop at any time: reply “unsubscribe” to any email or call 0457 943 716, and we’ll action it straight away with no questions asked.

We don’t buy contact lists, and we don’t send marketing to anyone who hasn’t asked us to.

Who else sees it

We do not sell your personal information, and we do not share it with third parties for their own marketing.

The only third parties that touch your information are the platforms that let us operate: Google Analytics measures how the website is used, and our cloud hosting and database providers store it securely for us. Your enquiry data stays within our own systems.

If you become a client, the information needed to deliver your engagement may be processed in the software we work in day to day, such as Advisorli, Xero, QuickBooks, MYOB or Reckon Accounts Hosted, strictly to do the job you’ve engaged us for.

We may also disclose information where we’re legally required to, for example by a regulator, a court or the Australian Taxation Office.

Cookies

A cookie is a small file your browser stores so a site can remember things. We use very few:

  • Essential cookies are needed for the site to work and to remember your cookie choice. These can’t be turned off.
  • Analytics cookies (_ga and _ga_* from Google Analytics) are set only after you press “Accept analytics” on our cookie notice. They record how you use the site, and are typically kept by Google for around 14 months.

You can change your mind whenever you like by clearing cookies for this site in your browser settings, or by asking us. Declining analytics cookies doesn’t stop you using any part of the website.

Where it’s stored and how long

Your information is held in secure cloud systems operated for us by our platform providers. Some of those providers, including Google, may store data on servers outside Australia.

We keep enquiry and client records only as long as needed to provide our services, to follow up with you, and to meet our legal and professional record-keeping obligations. Once that period passes, we delete or anonymise it.

Your rights and how to use them

We follow the Australian Privacy Principles. You can ask us to:

  • Show you the personal information we hold about you.
  • Correct anything that’s wrong.
  • Delete it, or stop using it for marketing.
  • Explain how we handle a particular piece of information.

Just call 0457 943 716 or use the enquiry form and mark your message “privacy request”. There’s no cost, and we’ll respond within a reasonable period.

If you’re unhappy with how we’ve handled a privacy concern, you can raise it with us first, and then with the Office of the Australian Information Commissioner (oaic.gov.au).

Changes to this policy

We may update this policy as our services change. The version on this page is always the current one, and the date below shows when it last changed.
